EVENT LOGISTICS COORDINATOR
Are you passionate about Logistics? As part of our team at Northern Lights Festival Boreal, you will be responsible for the logistics coordination and organization of the NLFB Summer Festival and other annual activities and events. You would be the trusted source of all logistical information related to our festival and events. This is a full time one year contract position with possibility of extension.
Specifically, your responsibilities will include:
- Coordinate the promotion, recruitment and logistics of signature and special events
- Follow-up with venue representatives about details and needs of each event, provides all on-site requirements and coordinates all pre-event requests
- Conduct follow-ups and distribute consumer and artist surveys to ensure corrections and changes needed for future events
- Contact partners and in-kind sponsors, negotiate costs and verify contracts, screen and coordinate temporary on-site event assistants
- Assist in preparing and organizing all event-related documents
- Coordinate and follow-up with volunteers, including organizing volunteer Appreciation Party, and manage volunteer database
- Maintain an up to date knowledge of all internal department processes
- Support the Executive Director with any pertinent information and/or additional tasks related to the festival and annual operations
The Requirements:
- 1+ year experience in Event planning, Tour agency or Customer service
- Degree or experience in Logistics, Marketing, Tourism is an advantage
- Fluent verbal and written English is a must
- Ability to successfully prioritize and manage multiple tasks
- Ability to work well under pressure
- Experience in event planning preferably in a non-profit environment.
- Demonstrated ability to set and exceed ambitious goals with a track record for success
- Experience with coordinating of events
- Experience working with basic graphic design tools (i.e., Canva)
- Expert level of efficiency with Microsoft Office/Google Suite and database management
- Clear Criminal Background Check
- French not required but an asset
Schedule: Monday to Fridays with weekends only around event times
