Position Overview
This is a 10-week contract. As a Volunteer Coordinator, you will be responsible for overseeing the recruitment, training, and management of volunteers leading up to and during the Northern Lights Festival, ensuring that they are effectively supported and engaged. This role requires strong organizational skills, excellent communication, and a passion for working with people to help fulfill the mission of Northern Lights Festival Boreal.
Key Responsibilities
Volunteer Recruitment & Onboarding
- Promote volunteer opportunities through outreach, including social media, local events, and partnerships with schools, businesses, and other community organizations.
- Conduct background checks (if necessary) to ensure the appropriate placement of volunteers.
- Oversee the onboarding process, including volunteer orientation and training.
Volunteer Management
- Maintain accurate records of volunteers, including hours worked, roles, and individual progress.
- Assign volunteers to specific tasks or programs based on their skills, interests, and availability.
- Coordinate volunteer schedules, ensuring adequate coverage for the festival.
- Provide ongoing support, guidance, and motivation to volunteers throughout the festival.
- Seek support for volunteer food donations from local restaurants.
- Pick up volunteer food at local supporting restaurants
Volunteer Engagement & Retention
- Foster a positive and inclusive volunteer culture through regular communication, feedback, and recognition efforts (e.g., volunteer appreciation events or awards).
- Address volunteer concerns and resolve conflicts in a timely and professional manner.
Training & Development
- Organize training sessions for volunteers to ensure they can perform their roles effectively.
- Create and update training materials to improve volunteer performance and safety.
Event Support
- Coordinate volunteer participation in events and programs, ensuring all volunteers are briefed on their responsibilities.
- Assist with logistics for the festival.
Reporting & Evaluation
- Track volunteer hours and maintain detailed records.
- Report on volunteer engagement metrics to leadership, and assist with program evaluations.
Qualifications
Education & Experience
- High school diploma or equivalent; some college coursework or degree preferred.
- Previous experience in volunteer management, event coordination, or customer service is a plus.
Skills
- Strong interpersonal and communication skills, with the ability to engage and motivate diverse groups of people.
- Excellent organizational and time-management skills, with the ability to juggle multiple priorities.
- Proficiency in Google Workspaces and experience with volunteer management software (preferred but not required).
- Ability to work both independently and as part of a team.

Working Conditions
- The position will require long working hours during the Northern Lights Festival
- Physical requirements may include standing, walking, and occasional lifting of materials or supplies for the festival.
